An order change log records what changed, when it changed and who confirmed it. It is especially useful when several people discuss one purchase.
Practical Considerations
Keep each change linked to the affected order line and the message or revised document that confirms it. A conversation remembered differently by two people is difficult to use during receiving.
Suggested Procedure
- Describe the original and revised detail.
- Record the date and confirming contact.
- Update the working order record.
Illustrative Example
If the buyer changes a notebook order from ruled to plain paper, the change should identify the quantity and product reference rather than merely saying use the other version.
Points to Check
The log should point to confirmation, not replace it. Mark proposed changes as pending until the relevant parties have agreed.
